Introduction
Google makes it easy for users to share their Google Calendar with other people. When someone shares a Google Calendar with you, they’ll give you a URL that’s a link to an ICS file. If you have an Apple iPhone or iPad, you can easily add this shared Google Calendar file so events associated with it will be visible in your Calendar app. Updates to the shared Google Calendar will automatically be updated in your iPhone or iPad Calendar app. Examples of all instructions in the steps can be seen in the YouTube video below.
Steps to Add Shared Google Calendar to iPhone or iPad
- Ask the person who wants to share their Google Calendar with you to send you the ICS file associated with that Google calendar. They can get the ICS file for you by navigating to calendar.google.com, clicking the vertical ellipses to the right of the calendar they want to share, and then clicking “Settings and Sharing” in the menu that appears. The Calendar Settings screen will be displayed. They need to scroll down to the bottom of that screen, copy the public URL in either the public address or secret address section, and share it with you.
- After you have the URL for the ICS file, tap to launch the “Settings” app on your iPhone or iPad. The Settings screen appears.
- Choose “Passwords and Accounts” in the menu. The Passwords and Accounts screen is displayed.
- Tap “Add Account” in the Accounts section. The Add Account screen appears.
- Choose “Other” in the list of options. The Other screen is displayed.
- Tap “Add Subscribed Calendar” in the list of options. The Subscription screen appears.
- Paste the URL associated with the shared Google calendar ICS file into the Server field, and then tap “Next.” The information screen expands with information associated with the calendar. Enter a username and password if there is one required to access the shared Google calendar, and then tap “Save.” You’ll be returned to the Passwords and Accounts screen. You can see your newly added shared Google calendar in your iPhone or iPad calendar by opening the Calendar app, and then tapping “Calendars” at the bottom of the screen. The Calendars screen is displayed. Scroll down to the Subscribed section, and you’ll see your newly added calendar in this list. Ensure the circle to the left of that calendar has a check mark in it to see events from that calendar in your iPhone or iPad calendar.
5 Reasons to Add Shared Google Calendar to iPhone or iPad
1. Centralized Event Management
Managing your events from one place is a game changer. With a shared Google Calendar on your iPhone or iPad, you no longer need to juggle multiple apps or platforms. You can see personal appointments, work meetings, and family events all in one view. This integration saves time and reduces the chances of overbooking or missing an event. It simplifies your day-to-day planning, making it easier to keep track of your busy schedule on the go.
2. Real-Time Updates
Stay updated with real-time changes. Whenever someone updates a shared Google Calendar, those changes automatically sync across all devices connected to it, including your iPhone or iPad. This feature is crucial for teams and families where plans can change quickly. If your colleague reschedules a meeting or your partner adds a family outing, you’ll see the new information immediately. This instant synchronization ensures everyone stays on the same page, reducing misunderstandings and double-bookings.
3. Customizable Notifications
Never miss another important event. With customizable notifications, you can set alerts for specific events directly on your iPhone or iPad. Whether it’s a reminder 15 minutes before a crucial client call or a day-ahead alert for a friend’s birthday party, these notifications help ensure you’re always prepared. You can tailor notification settings to suit your preferences, helping you manage your time more effectively. This personalization makes it easy to stay on top of your commitments without constantly checking your calendar.
4. Easy Access for All Involved
Accessibility is key in our fast-paced world. A shared Google Calendar added to an iPhone or iPad allows anyone in your group to access the calendar anytime, anywhere. Whether it’s a busy parent, a traveling executive, or a freelancer on the move, everyone has the same level of access. This universal access is especially beneficial for groups scattered across different locations. It promotes transparency and inclusivity, ensuring that all members are equally informed and engaged in shared activities or responsibilities.
5. Seamless Integration with iOS
Experience smooth integration with iOS features. Google Calendar works seamlessly with your iPhone or iPad, integrating with other apps like Mail and Contacts. This compatibility allows you to send emails to event participants or pull up directions to an event venue directly from your calendar entry. The integration extends to Siri, enabling you to use voice commands to add or query events. This seamless interaction enhances usability and makes managing your calendar through iOS devices not just practical but also a pleasure.
